“Efficiency is doing things right; effectiveness is doing the right things.” — Peter Drucker

Balance is great, but did you know that 20% of your efforts can yield 80% of your results? It’s called the 80/20 rule or the Pareto Principle, discovered by economist Vilfredo Pareto in 1897 after he noticed that in England (and many other places he studied), 20 percent of the population owned a whopping 80 percent of the land.

This principle, initially associated with land ownership, is key to understanding how things work in our daily lives. In simple terms, it means that a small portion of your efforts can lead to most of your results.

Real-life Instances

  • 80% of your returns can often be attributed to 20% of your holdings.
  • 80% of your organization’s total success can be attributed to roughly 20% of your tasks.
  • During meetings, around 80% of the decisions are typically made within the first 20% of the time.
  • 80% of the skill development often comes from mastering the critical 20% of skills relevant to the job.
  • 80% of your physical fitness results from consistently doing 20% of the exercises or activities.

Recognizing your 20 percent

In business, the key is creating value for customers. This means focusing at least 80% of your time on activities related to creating, delivering, and capturing value.

Here are a couple of questions you need to ask yourself to develop the 80/20 Mindset:

  • Which 20% of my tasks hold the key to my promotion?
  • What are the 20% of my tasks that significantly contribute to my organization’s growth?
  • Are there behaviours I engage in less than 20% of the time that could be sabotaging my success?
  • Which one or two activities consume 80% of my time but yield little value?Use KPIs to guide your efforts and prioritize that 20% for maximum productivity and effectiveness.

Implementing the 80/20 rule

Before you get into using the 80/20 rule in your life, make sure you know what you want to achieve. The best kinds of goals to set are SMART goals. Once you’ve got those clear goals in mind, you can start getting better at managing your time.

  • Consider Your Why

When starting your workday, ask yourself why you’re doing a task. Instead of beginning with easy ones, tackle high-priority work first. This aligns with the 80/20 rule, saving time and ensuring better results.

Don’t forget, being busy isn’t the goal. If you’re always busy, it might mean you’re not following the 80/20 rule for time management. Prioritize the critical 20% of tasks, and you’ll gain more free time.

  • Avoid Distractions

Resisting distractions is key to effective time management. When faced with a challenging task, distractions become tempting. The 80/20 rule can help you prioritize.

Delay less important distractions, like phone notifications. Identify major sources of distraction by tracking your time for a week. Focus on addressing the top 20% of distractions that cause 80% of wasted time.

  • Optimise your Task List

Start fresh with your to-do list, keeping the 80/20 rule in mind. Assess how each task relates to your SMART goals and its overall impact.

Place low-impact tasks at the bottom, even if they seem quick to finish. This is crucial because it’s easy to focus on easy tasks to feel productive, but in reality, it won’t yield significant results. Prioritize wisely.

  • Track Your Advancement

Identifying the 20% of your most valuable tasks can be challenging when you first apply the Pareto principle. It’s an ongoing process; continuously monitor the time spent on various tasks and their outcomes. Be prepared to adjust your approach for ongoing improvement.

  • Evolve

After experiencing its benefits, find new ways to apply the 80/20 rule. Unsubscribe from less valuable reading material (80%) and stick to the top 20%. Identify the tools (20%) that make your work easier and consider dropping the rest (80%). Focus on personal projects (20%) that bring fulfillment to enhance motivation in work and leisure.

  • Delegate

Strive to delegate most of the 80% of tasks that contribute to just 20% of the results, focusing on the critical 20% for yourself. Especially, delegate tasks that don’t demand your expertise.

Signs to know whether you are in 80 percent or 20 percent?

Pareto Principle or 80/20 Rule is a powerful concept that can transform how you manage your time, boost productivity and achieve your goals.

So, why not give it a try and see how it can make a real difference in your life?
